Plans & Pricing

Keap’s pricing is transparent and complex. It depends on the number of contacts that you have. While the pricing plans offer the same amount of features, the actual price for each plan varies according to the list below:

  • Less than 500 contacts
  • From 500 to 5500 contacts
  • From 5500 to 10500 contacts
  • From 10500 to 25000 contacts
  • Over 25000 contacts

In addition, you also get a 50% discount for the first two months of use, for every plan. Finally, all plans include a single user, and there is a $30 fee per each additional user.

There are three plans to choose from – Lite, Pro, and Max. All plans include CRM, sales and marketing automation, email marketing, data migration, customer support, and mobile apps. Here are the details for each plan:

Lite

The plan is $40/monthly (assuming you have less than 500 contacts) and is designed for small businesses. Features include contact management, contact lists, filters, tasks, forms, email sync, invoices, one-time payments, basic automation, reminders, internal forms, limited API integrations, and default user roles.

Pro

The plan is $80/monthly (assuming you have less than 500 contacts) and is designed for small to medium businesses. The plan includes all of the Lite plan’s features plus landing pages, sales pipeline view, email A/B testing, automated text messaging, recurring payments, subscription management, checkout forms, advanced automation, pipeline automation, reports, and customizable dashboard.

Max

The plan is $100/monthly (assuming you have less than 500 contacts) and is designed for medium to large businesses. The plan includes the Pro plan’s features plus lead scoring, discount codes, sale funnels, Shopify integration, upselling, and cross-selling and custom user roles.

Keap is considerably more expensive than many other CRMs on the market. Not only you’re getting charged extra in proportion to your number of contacts, but you also have to pay a flat fee of $30 per each additional user.

Features and Functionality

Keap offers a well-rounded array of features that allow you to take care of the whole customer journey, start to finish. Basic/expected features allow you to organize your leads, client information and streamline business communication all from a single hub.

Additionally, premade templates, automated emails, and SMS messages allow you to follow up with leads much more efficiently and set up a repeatable sales process. The software is compatible with most popular browsers and offers Mac, Windows, and Linux apps, as well as Android and iOS mobile apps. Here are the details for some of the most notable features:

Sales and Marketing Automation

Automated workflows allow you to spend less time on repeat activities and focus on customer engagement. Basic automation allows you to set up simple workflows like the following:

“1. When you capture a lead->2. Send a follow-up email with a thank you message.”

Advanced automation lets you build complex workflows with multiple steps:

“1. When a web form is submitted->2. Send an introduction email->3. After 3 days, if no action is taken, send a follow-up email->4. After 2 days, if no action is taken, send a discount coupon, etc.”

Payments and Invoices

Keap allows you to accept credit cards, send invoices, and track payments right inside the app. In addition, Keap has native integrations with PayPal, Stripe, and WePay. The software makes it really easy to pay for clients via the “Pay Now” built-in button inside the invoice. You can also set up recurring payments and invoices (daily/weekly/monthly) reinforced with automated reminders so that you never miss a paycheck. Finally, you can configure the system to send reminders and notifications to chase down late invoices.

Email Marketing

Email is one of the most important communication channels to generate revenue, nurture leads, and maintain ongoing conversations with clients, and Keap recognizes this extremely well. The email marketing tool offers easy-to-setup automation for lead nurturing and moving contacts to the next stage in the pipeline. The software is loaded with an extensive collection of email templates, A/B testing capabilities, auto spam checking, and even intelligent email sending algorithms.

Ease of Use

Keap is extremely easy to use. Everything is set up with such efficiency that even a novice would have no problems getting their job done from day one. The dashboard looks very clean and provides all the information that you need at a glance. The only exceptions are advanced automation features, but those require domain knowledge and experience to utilize them to their full effect.

Contacts & Users

All client activity and communications are in a single place. You can easily create contacts, edit customer and company information, and configure the software to handle follow-ups and payments automatically.

The pipeline is visual and very clean. The drag and drop functionality allows you to easily move leads between stages and add new stages, if necessary. The pipeline is fully customizable and is designed to show the most important information like a lead stage, communication notes, client information, and deal information. Users can create as many pipelines as required. The automation functionality is located right under each column, allowing you to set up the sales flow, as needed. Automation examples:

“1. When I move the lead into stage (hot), send an email and a discount coupon.”

“1.When I move the lead into stage (won), send an invoice->2. When an invoice is paid and the task is complete, send ask for a review email.”

Reporting & Integrations

Keap offers a few report categories – marketing analytics and reporting, sales reports, contact growth and engagement statistics, and payment and revenue analytics. All reports are rather in-depth and provide data that can be used to create targeted marketing campaigns, streamline the sales process, improve customer engagement and lead capturing, etc.

Marketing reports provide information such as conversions by sales stage, lead source, email open rates, and click-through rates, form completion, campaign performance, and contact actions. Sales reports allow you to track sales numbers by day/week/month, and find revenue and transaction trends over a given period.

As for the integrations, Keap offers quite an extensive list of popular apps, including Outlook and Gmail for email marketing, as well as native integrations with renowned payment processors PayPal, Stripe, and WePay. Other popular apps include QuickBooks, Privy, Thrive Cart, WordPress, Instapage, and Zapier.

Final Word

Overall, Keap is a great CRM for any small business out there. The tool is very intuitive and easy to use, even if you’re a beginner. The strong feature set allows you to automate routine tasks and save lots of time. The robust integrations and reporting offer seamless sync with all the tools that you need and centralize all data into your CRM for maximum convenience. The only downside is that the pricing strategy is a bit hard to grasp and the software itself is pricey compared to similar products on the market.

The main features won't be too hard to master for someone who has used other CRM systems before. However, it will take some learning to utilize the more advanced features. Luckily there are plenty of training videos and tools online to guide new users.
